Position Summary
The Accounting Office Assistant will be responsible for creating and carrying out processes related to all things corporate credit card related including reconciliation, tracking and fraud detection. In addition, supporting our business office in daily functions. It is highly important to us that we keep our wonderful, unique culture while respecting state rules and regulations. You must be able to handle conflict well and problem solve swiftly. In addition to accounting assistant duties, you will complete assistant tasks related to and requested by the CEO (personal or professional) and Finance Director. This position must be able to handle an array of personalities and maintain complete confidentiality of information.

Essential Duties and Responsibilities

Credit Card Responsibilities

  • Reconciliation and tracking of credit card receipts and reports
  • Responsible for creating journal entries to properly record credit card transactions in general ledger
  • Monitor credit cards for fraudulent transactions
  • Handle merchant disputes
  • Track down missing credit cards when needed
  • Verify transactions are paid by the correct company and request reimbursements as needed

Daily/Weekly Tasks

  • Process and mail all checks after they are cut
  • Assist with general operations of the business office
  • Focus on process improvements to ensure records are properly organized and filed
  • Handle and sort all incoming mail
  • Scan items as needed for Finance Coordinator
  • Process Green Bay EOB’s as necessary

Monthly Tasks

  • Process monthly credit splits
  • Verify testing invoices and payments for accuracy
  • ACH payments for franchise fees

Administrative Duties

  • Assist the CEO and Finance Director in various tasks
  • Schedule team meetings as requested
  • Assist Accounting and Business Coordinator with projects as needed
  • Bank deposits when Business Coordinator is unavailable
  • Book business office travel as requested by management
  • Complete business license renewals

Position Requirements

  • Basic understanding of accounting practices and procedures.
  • Excellent organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to follow verbal and written instructions.
  • Ability to type 30 words per minute.
  • Proficient in Microsoft Office Suite or similar software.
  • Experience with accounting software.

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
